Initial situation
It is autumn and after a few days of rain, the weather forecast brings even worse news. In the coming days, the water masses will probably cause rivers to overflow their banks throughout the region. Our company, along with several other organisations, has its building in a hilly area right at the foot of the mountain. Hopefully, the nearby river will not affect the campus too much.




Incident and
first reaction
As soon as the forecast is published, the management recognises the danger and decides to mobilise the teams and prepare as much as possible. Pulpius begins with a special preparation phase. This includes establishing the team structure and calling initial meetings to ensure sufficient resources are available. Protective measures are planned and implemented in advance of the anticipated event. This includes bringing people from external service providers into the teams. The Pulpius platform can have internal and external users.
Notification
Most notifications are forwarded to the emergency response team because the company is still in the preparation phase. The Pulpius platform is designed to clearly indicate when an emergency is still in the preparation phase. When it is published, everyone in the Pulpius system can see what preparation activities are taking place. Specific information or instructions for a wider audience can then also be published to best prepare the organisation. This is crucial to keep stakeholders calm and actively build confidence in the management.




Incident management
Over time, water floods the area and the company’s status changed from preparedness to active response. The activation is clearly communicated on the Pulpius platform. In addition, communications (alerts, warnings, notifications, etc.) are widely distributed within the organisation and beyond. The water overflowed, but thanks to the protective measures, the destructive effects were contained at all times. The company’s proactive approach was able to save the company from worse.
Additional notes: Pulpius is versatile and is used by all members of the organisation in their day-to-day operations. When a major event is imminent, the constant availability of information before and during the event on a platform known to all goes a long way toward calming the situation and reducing the risk of misinformation circulating.
Benefit
There is evidence that many emergencies in all types of organisations are activated too late. (Just think of COVID. Hardly any countries were adequately prepared for it, even though they were all notified several months before the disaster struck.) The Pulpius platform is designed to lower the activation threshold by introducing it gradually. It promotes a proactive attitude at all levels of the organisation. Even in the case of the severe weather, the emergency has already started (in the preparation phase) before it actually occurred. The threshold is then lowered significantly to finally set the state to active.
